Encric Pro

The common problems, prohibited operations and notes in the usage of BioBio/Cody are described as below :

Problems

When Encric Pro is installed on the following PCs of IBM ThinkPad series and the automatic logon is set to “ON”, the following symptoms may occur after the PC starts,

Log on Windows, the system error dialog box and blue screen will occur before the display of Desktop appears.

Preventive measures

This problem can be solved just by upgrading ThinkPad Power Management Driver with its latest version.

• Procedures for confirming the version of Power Management Driver:
Open the “System property ?Hardware?Equipment manager?System equipment”, check the property of “IBM PM Device” and confirm the version of the Driver Program.

• Power Management Driver can be downloaded from the website as follows:

※Confirm whether the version of the Driver Program is updated.

■ Automatic encryption

【Prohibited operations】
The following operations are prohibited, otherwise the improper results such as failure of OS in starting, damage of files, failure of program in normal operation, failure of backup, may occur.

  1. Encrypt the whole disc.
  2. Perform encryption under Windows OS compression environment. (*1,*2)
  3. Re-encrypt under Windows OS encryption environment.
  4. Encrypt EXE and DLL files related to Windows OS.
  5. Encrypt Windows system folders and system files.
  6. Encrypt Encric system related files.
  7. Encrypt or decrypt a great lot of data in one time.
  8. The encrypted data is compressed through Windows OS compression function without being decrypted. (*1,*2)
  9. The encrypted data is encrypted through Windows OS encryption function without being decrypted.
  10. The encrypted data is baked up through Windows OS backup tools without being decrypted before the Key is inserted.
  11. When the encrypted data is not decrypted, the FAT32 file system is changed to NTFS file system.
  12. When the encrypted data is not decrypted, the defragmentation is performed under NTFS file system environment after the Key is inserted.
  13. The total size of encrypted files and folders increases continuously and reaches the usable space of hard disc.
  14. Perform other operation during encryption.


Any important data shall be backed up on a regular basis and saved in this PC and other PC at the same time. All the encryption setting shall be eliminated prior to any reinstallation s of OS and the system.

*1. The additional functions for Version 1.3 and above: installation of program under compression and encryption environment of Windows 2000/XP NTFS file system, and related setting after such installation are prohibited.
*2. Select and perform “Compress the used files” of disk clean-up.

【Cautions】

  1. If the property of a folder or file is “Read only” or “Display by zoom out” this folder or file cannot be encrypted. The encryption can be performed only after the setting of “Read only” and “Display by zoom out” are changed.
  2. If the icon setting of a folder displayed under the Windows XP environment is a thumbnails, even the image file or PPT file is encrypted the thumbnail is not affected.
  3. The disc usable space for saving the encrypted file shall be at least double than the size of encrypted file while saving the encrypted file. When a large size file is encrypted, the first step is to confirm whether the usable space of the disc is sufficient. If the space is not enough, such results for example, failure of operation, damage of file, etc. may occur.
  4. The encrypted file remaining in the recycle bin can not be removed unless you clear up the recycle bin as soon as this encrypted file is sent to the recycle bin or you send this encrypted file to the recycle bin after decryption.
  5. The encrypted file will be decrypted automatically when it is transferred or copied from disc of local PC to the external removable hard disc.
  6. The file and folder will maintain its status when it is transferred from the encrypted external removable hard disc to a PC. But if this file or folder cannot be accessed when it is transferred to the previous PC after decryption, the old encryption and decryption information in the buffer memory of the previous PC is recalled while opening this file or folder in the portable hard disc.
    Prior to moving to the previous PC, the steps shall be performed as follows:
    1) Read other removable hard discs firstly
    2) Restart
    3) P ull out the external removable hard disc.
  7. Select “Applicable change of folder, sub-folder and file” while setting automatic encryption for the folders in external device s such as external removable hard disc, etc.
    When external device is connected to the PC without installation of Encric Pro, and only the folder in this external device is encrypted, the files in this folder still can be read as normal.
  8. Due to some problems during encryption, it is possible that Encric system may consider the operation of encryption or decryption is performed or show some error message such as “Fail to open file”, “Character encoding incompatibility” may occur even if the encryption or decryption operation is actually not be performed.
    If the content is actually not encrypted, it can be dealt with or recovered in following steps:
    1) Decrypt and backup the accessible folder or file.
    2) Don't decrypt the folder with character encoding incompatibility.
    3) Uninstall Encric program.
    4) Restart PC.
    5) Backup all files in the encrypted folder properly.
    *Confirm whether the file can be accessed normally at this time.
    6) Reinstall Encric program.
    7) Restart the PC.
    8) Delete all the encrypted files.
    9) Restore the backed up files and folders, and then encrypt them again.
  9. Some symptoms such as “Inaccessible database file”, “Character encoding compatibility”, etc. may occur while encrypting database file and related DLL and EXE files.
  10. Don't encrypt and save mail folder/file. Otherwise the symptoms of failure in starting mail receive and send software, failure in receiving or sending mail, may occur.
  11. The important data shall be backed up regularly and frequently no matter Encric Pro is used or not.
  12. A folder named “EFS_VOL” will be generated in the same disc after the folder or file is encrypted. Such folder is generated by Encric system to record information on the automatically encrypted file or folder. EFS_VOL folder is protected by Encric system and prohibited from being accessed.
  13. As for the authority granted to other Encric to access encrypted file or folder, each encrypted file or folder has up to 15 authorities. If the access from the 16 th or above Encric is necessary, first copy and generate more encrypted files or folders, and then grant the 16 th and above access authority of Encric.
  14. The data generate by Mount point in the disc cannot be encrypted under NTFS environment.
  15. When a great lot of encrypted data are saved in some drive (D drive and so on) other than C drive, the character encoding incompatibility may occur if the encrypted data is opened upon starting. The waiting time for restarting PC after closing file without updating, is subject to variable factors, for example, number of files, PC environment type, etc. If there are more than 2000 files, please wait for 5-6 minutes after starting and access these files once more.

■ Net Key encryption

  1. When the file encrypted by Net Key is decrypted, sometimes an ordinary file (non-encrypted) will be generated only, and sometimes the file will be opened at the same time. Whether the file is opened or not opened is subject to the related application program.

■ Automatic logon

  1. If the logon password of Windows is changed, the automatic logon setting of Key shall be changed correspondingly, or the automatic logon Key cannot be used any more. When “Only use of Encric logon” is set as effective, logon of Windows can be performed only after automatic logon is set again.
    However, even if the Windows logon password is changed, the previously set automatic logon Key can still be used under Windows98 OS.
  2. Set Windows logon password and then set automatic logon function.
  3. When the automatic logon is set under Windows2000 and XP, you will be required to input Windows logon password. But there are some failures such as error of password, system locked, failure to Windows logon may occur for the Key password or other passwords that is generated by such input. Therefore, you must input Windows logon password and then set automatic logon function.
  4. If Windows automatic logon function is set to “ON”, the user of Windows XP cannot use the simple shift function any more.

■ Screen Saver Lock

  1. Under the circumstance of Windows Me or no operation of Flash Player, the Screen Saver Lock display will be in still state.
  2. Under the suspend or stand-by mode, even if the Key is pulled out or inserted properly , the Screen Saver function can not be used because the Key is not updated. Please use input device , wait for the system recovery and then insert the Key once more .

■ Device Lock

  1. The CD-R OM and other media shall be removed from the drive first, and then the media disk drive like CD-ROM can be locked. However, it is possible that the drive cannot be locked under 98SE/Me.
  2. If the administrator Key is not inserted after setting, OS will consider the floppy or CD/DVD drive as removable hard disc and lock the reading and writing functions at the same time.
    Only the reading function, not writing function of CD/DVD can be locked under Windows 98/Me, while only the writing function of CD/DVD can be locked by OS under Windows 2000/XP.

■ Password Memory

  1. It will take some time to write the password memory on Encric Pro key. Therefore, other operations shall not be performed during such writing. Failure in writing may cause the password memory function not to work.

■ Installation and uninstallation

  1. Make sure that there is at least 100MB usable space in HDD for installation of Encric Pro.
  2. Please close all the software and resident application programs during installation and uninstallation of Encric Product. If installation or uninstallation is performed without closing all software or resident application programs, the drive program may make the system unstable due to the incomplete installation or uninstallation.
  3. This product shall be installed under the Administrator or user's account that is awarded with administrator authority and installation authority.
  4. When this product is used on a stand-alone local PC or a client PC on the Network, the user of this client PC shall be granted with the Administrator right first.
  5. The program can be uninstalled only through using the Administrator Key or the information generated by the Administrator Key.

■ About OS

  1. After installation, failures that occur due to changes or upgrade of OS in the PC are not covered by the technical support. Please Note that when Windows98/Me is upgraded to Windows2000/XP, Windows may not be logged on properly after the automatic logon is set.
  2. When setting up the restore point of Windows XP, please remove all the setting of Encric Pro first and then uninstall the program. If the automatic logon is set, the setting screen of automatic logon will be displayed and Windows cannot be logged on normally when the restore point is set and the PC is restored to the restore point after uninstallation of the program.
  3. This product does not support Windows 95, Windows 98 (1st Edition), Windows NT, Macintosh OS and Linux OS.

■ Others

  1. If other encryption security software or anti-piracy software is installed on the PC, please uninstall these software and driver programs prior to installation of this product. Otherwise, the installation and other operations will not be performed properly.
  2. This product shall be kept properly. The backup key can be generated by the Key information (a file with suffix of “eki” that is enforcedly backed up during generation of Key after system installation). Do not save Key information file in PC but in external devices like removable hard disc and so on. The Administrator Key or Key generation information (password generation) is necessary for uninstallation.

■ Disclaimer

Jujo Electronics Co., Ltd. will not be responsible for any direct or indirect loss, business interruption, missing or damage of information, economic loss, etc. that arise from defect or malfunction of the product. Even if such losses have been warned by Jujo Electronics Co., Ltd. or the third party, this Company will not take any responsibility.

■ Compensation

This Company will not compensate any user losses arise from improper operation of user, failure in decryption of encrypted folder or file due to poor quality of product, and data damage. Please thoroughly read the user's manual of Encric Pro and user's agreement in the attached CD-ROM and understand these contents completely prior to use this product.

■ User's Agreement

It is the precondition for using this product to accept the user's agreement.

■ Use of precision instruments

As this product uses some precision IC elements and some metal parts, special attentions shall be paid during operation. (This product cannot come into contact with water for long time and be exposed to vibration and shock, and must be used at ambient temperature (between 0 o C to 50 o C).

【Q1】

Can the files encrypted on a PC by using Encric Pro be moved to other PC for decryption?

【A1】

Yes, but the Key that was used to encrypt must be used to decrypt.

【Q2】

Can multiple Keys that are exactly the same (duplicated Keys) be generated while creating a new Key?

【A2】

Yes, multiple Keys that are exactly the same can be generated. You only need to enter the same information as when creating the initial Key, multiple Keys can be generated. But considering the computer security, it is best not to generate multiple Keys.

【Q3】

Can Key be generated if the hardware is lost?

 

【A3】

Yes, but you must have the original information that was used to generate the lost key, otherwise you cannot generate a Key that is exactly the same, nor could you decrypt the files that are encrypted by the original Key. Please guard carefully the information that generates the Key.

【Q4】

What to do if one cannot encrypt/decrypt when the Key is damaged?

【A4】

Normally the damaged Key can be regenerated to restore the functions and to continue to use the same Key. Sometimes even regenerating cannot restore the functions, which means there is failure in hardware. Then it is necessary to replace the hardware and generate again.

【Q5】

Can one use his/her own Key to read the files encrypted by others?

【A5】

Yes. Encric Pro provides the following two functions for multi-user accessible file.

(1) Using the authority setting function for multi-user accessible file, one can set up multiple Encric Pro with the authority to read and edit the file. Any Encric Pro user who has such authority will be able to use his/her own Encric Pro to read the files encrypted by others. But this function is limited to the sharing files on the same PC. Using Encric Pro allows maximum of 16 users to share the same encrypted file.

(2) If one wants to share encrypted files in a network environment, the Net Key function must be used to encrypt the files and the encrypted files can be shared within the network.

【Q6】

Is there any limit on the user's authority to set up the file encryption?

【A6】

Yes. First, only the owner of the file can have the authority to set up. Second, the owner of the file can give access to a group of users selected from the user list and grant corresponding authority to individual user.

【Q7】

If the Key generating information is forgotten, is it possible that the information can be retrieved by analyzing the Key?

 

【A7】

It is not allowed for Encric Pro, nor is any such analysis tool provided. The purpose is to protect the rights of authorized users. The best way to avoid forgetting the Key generating information is to write it down on a piece of paper and store it in a secure place. Never tell others the information. If others know such information they will be able to generate an exact same key to open all your privacy (encrypted) files. Therefore it is very important to safeguard your Key generating information.

【Q8】

If some one steals my Key, can he get the information inside the Key?

【A8】

If the person who steals the key doesn't know the password, he/she will not get the information inside the Key. In any event it is very important to guard your Key carefully.

【Q9】

Why sometimes certain files cannot be encrypted?

【A9】

Please check the following:

Whether the file is already opened?

Whether the file is already encrypted?

Whether Encric Pro is plugged in a USB port?

Whether Encric Pro is well connected? (make sure the green indication light is On)

Whether there is enough disc space?

Whether the file is already damaged?

Whether the file is a system file, read only file, hidden file, or packed file that cannot be encrypted?

【Q10】

Using one's own Key to encrypt a file automatically, and then give Key A the authority to [Open] the file. When using Key A to move the file to another older, [Can not move] massage is popped up, yet in that file folder a decrypted file is already generated. Moving multiple files, the same thing happens only on the first file, what is the cause? The OS is Windows 98SE.

【A10】

The symptom is particular to Windows 98 series OS (Windows 98, 98SE, ME) due to its file move principle. The steps involved in moving a file under Windows 98 series OS are the following:

1) Duplicate the original file in the target place.

2) Delete the original file.

When a document is moved under Windows 98 series OS by a user Key that is only given the [Open] authority but not the [Delete] authority, a duplicate decrypted file will be generated in the target place. If the original file cannot be deleted, at that time the [Move failed] error message will be displayed. To move encrypted files under Windows 98 series OS, please use Owner Key or the Key with delete authority.

【Q11】

When moving a folder containing multiple files into an encrypted file folder, will the former file folder or its files be encrypted?

【A11】

The files will be encrypted automatically when moved into the encrypted folder but the properties of the folders moved will not change. Because the duplicated folder is encrypted automatically, you can copy the folder into the encrypted folder and delete the original folder, or move the folder first and encrypt later.

【Q12】

Can the slide type files in a file folder be previewed by icons even if the image data in JPG, GIF, BMP files have been encrypted?

【A12】

Please do not set the encrypted image files in file folder as slide type files under Windows XP. If the folder is set as slide, any image file inside can be previewed even if the file is encrypted.

【Q13】

If the Encric Pro is being plugged in when defragmentation is performed on the disc that contains encrypted files, will the encrypted files be damaged after the defragmentation?

【A13】

While performing defragmentation on the disc that contains encrypted files, you must remove Encric Pro. Defragmentation of the disc while the Encric Pro is being plugged in may damage encrypted files.

【Q14】

Are there any files/folders that cannot be encrypted?

【A14】

Read Only files/folders cannot be encrypted. Please right click to open the properties of the file (or folder) and eliminate the Read Only option.

【Q15】

Can the encrypted files be sent to others?

【A15】

Yes. Please use Net Key function to encrypt the files and send as attachment to email. Please note that the files automatically encrypted will be decrypted while being sent via email.

【Q16】

When PC is in the Safe Mode or MS-DOS mode, the automatic logon function and the Screen Saver function under Windows will not be effective, and the unencrypted files can be opened and copied easily. Is there any way to avoid such?

【A16】

Under the Safe Mode or MS-DOS mode the Screen Saver and the automatic logon functions are ineffective. There is no other security method for all the important files/folders except encryption. This problem happens just the same on other companies' products. The security level of the Screen Saver and automatic logon is not very high.

【Q17】

If Screen Saver Lock is set on the PC, yet the Key that can unlock the Screen Saver is left at home. Is there any way to get around the problem?

【A17】

1. Using other's Encric Pro (other's Administrator Key) to generate a new Key that is the same as the one that is left at home.

2. Insert the Administrator Key in a USB port, open Encric Pro setup screen.

3. Get your Key's backup file ready (FDD, Desktop)

4. Select [Key management] from the setup Screen, click [Restore] button.

5. Specify the location of the backup file and open it.

6. Select [Yes] when asked whether to save the backup file on the Key.

7. After restoring, use this Key to unlock the Screen Saver (and set the Screen Saver to [OFF]).

8. Using the same steps, restore the Key to the original Administrator Key.

【Q18】

How can an individual user log on Windows automatically with his key on a multiple users PC?

【A18】

1. Please run automatic logon setup program, select [Automatic Logon] and [User ID, Password ] (for Win98SE/ME only), and restart PC.

2. When Windows Logon screen appears, press Esc Key, enter User 1's ID and password to logon Windows under the name of User 1.

3. Insert User 1' s Encric Pro and enter the setup screen for automatic logon, open [Hardware Key] selection, click [effective] button, thus enables User 1' s Encric to logon automatically (or by pressing the [ESC] key to logon manually).

4. Restart PC.

5. Enter User 2' s ID and password through Windows Logon screen and log on Windows under the name of User 2.

6. Insert User 2' s JJ-Key, enter the automatic logon screen, open [Hardware Key] selection, click [Yes] option, input User's ID and logon password under Windows2000/XP and then select “OK”. This will allow automatic logon by using User 2' s Encric.

7. The different user on one PC can achieve automatic logon using his Key through changing logon user and corresponding Key and repeating the above steps. The keys must be inserted in USB one by one to generate Encric Pro Key. It is not allowed to insert keys at the same time for generation.

8. If you need “Logon by Key only”, you shall enter automatic logon screen by Administrator Key after setting of all user's accounts, open [Hardware Key] selection, select [Logon by Hardware only] and press “OK” button.

【Q19】

How to keep the backup file generated during generation of the Key?

【A19】

Please always keep the Key backup file on a portable hard disc (FD, MO, U-memory, etc.) and lock it safely in a drawer. If it is stored in the HDD of the PC, the backup file cannot be retrieved when the PC fails.

【Q20】

Can the authority to access encrypted files/folders or to encrypt files by Net Key be given to others later?

【A20】

The authority for other Keys to access the encrypted files/folders and to use Net Key to encrypt files can be added/deleted later. (Right click file?Properties?Details?Addition?Addition of User?Selection of Access Authority)

【Q21】

Besides the files/folders on the Hard disc, can the files/folders in the removable disc be encrypted?

【A21】

The files/folders in removable drives such as FDD, MO, M emory -USB key , etc. can be encrypted directly. Please right click and select [Use Encric Pro to encrypt].

 

 

【Q22】

What is the PIN protection function (password lock function)?

【A22】

User can use set up Encric Pro Key and use its PIN lock (password locking) function. By setting up the password, you can prevent others from using the Key that you have left on your desk.

【Q23】

Are there real examples of using password memory function?

【A23】

It is very easy to use the password memory function, which can store not only the User ID and Password for logon of the web site, but the numbers of your car key, your car's license plate, your driver's license, your credit cards, your bank account, and the code for your safe deposit box, etc. As long as the password is locked, you don't have to worry about anything even if others have got your Key.

【Q24】

Does the receiver need Encric Pro when you send an Encric Pro encrypted file to him/her through e-mail?

【A24】

Yes. Encric Pro encrypted file is sent by using Net Key function. The so called Net Key function is to generate encrypted file by using public Key encryption. Therefore, user must get the information on opposite party's Encric Pro Key prior to using the Net Key function.

【Q25】

Only the Administrator Key can be used on multi PCs, is tha t the case?

【A25】

Yes. The fact is: Administrator Key can be used on all the PCs. Using one Administrator Key to set up Encric Pro and distribute the User Keys, which have limited functions only, to the users of individual PC.

【Q26】

When multiple persons share one PC, can it be set up that a user can logon to Windows only when he/she has inserted his/her own Key?

【A26】

When multiple persons share one PC, please use Encric Pro's Windows automatic logon function. There is no need to tell each user the password for logon to the PC. By giving and taking back the Key, the authority to use the PC can be assigned or revoked. A user who needs to logon to Windows can logon to Windows just by inserting his/her own key, and all users must insert their Keys in USB ports (using USB-HUB would be convenient). When setting up Windows automatic logon, please set to logon by inserting Key only. Thus when any User Key is inserted to a USB port, he/she can automatically log on.

【Q27】

When an Excel or Word file is opened , the Key is removed to make automatic logoff but the logoff will be terminated if [Cancel] is selected in stead of [Save] for closing down the application program. Why?

【A27】

This is subject to the type of Windows and is quite normal. If the automatic logoff is not used, the termination of logoff also will occur during manual logoff.

Due to the type of Windows, by removing the Key instead of operating manually, the logoff function can also be performed, and therefore the above situation will occur too.
